Getting started

What is the free audit, exactly?

A short written document. We look at how work moves through your business, where it arrives, who touches it and where it stalls. You get back a plan naming the one system to build first, the job it takes over and what it needs from you. It is not a sales call and it is yours to keep whether or not we build anything.

How much of my time does the audit take?

One conversation, and access to look at how the work flows. Most of the effort is ours.

My business is small. Is it too small for this?

Usually not, and the audit is where you find out for free. The thing that decides it is not your size, it is how often the same task repeats. A two person clinic that answers forty calls a day has more to gain than a fifty person firm that answers four.

I do not know what to automate. Where do I even start?

You do not need to know. That is the question the audit answers. Tell us the task you keep repeating, or the moment in the week that annoys you most, and we work backwards from there.

Do you work with my industry?

We build for businesses that run on calls, messages and spreadsheets. Clinics, transport and logistics, shops and wholesalers, service firms. If your week is spent answering, typing, chasing and typing again, the pattern fits regardless of the label on the door.

Money and time

What does it cost?

It depends entirely on the system, and we will not throw a number at you before we understand the work. A voice agent for a single clinic line and a full ordering system across three branches are not the same project and should not carry the same price. The audit is what produces a real figure, and the audit is free.

Why will you not just give me a ballpark?

Because a ballpark given before the audit is either padded to protect us or too low to be honest, and either way it makes the real conversation worse. You get the number once we know what we are building.

Is it a one off cost or a monthly one?

Both, and the audit sets out the split. There is the build, and there is the run, because the system keeps running after launch and someone has to host it, watch it and repair it. That someone is us.

How long does it take?

You see a working version early, running on your real data rather than a demo. How long it takes to finish depends on what it connects to and how fast we get answers from your side. The audit gives you the timeline for your specific case.

How do I know it will pay for itself?

The audit names the job the system takes over, so the arithmetic is yours to check: how many times that job happens, what it costs you now in time or in lost work. If the numbers do not work, we say so and you have lost nothing.

Will it actually work

Will my customers know they are talking to a machine?

If they ask, yes, they will be told plainly. Our voice and message agents disclose that they are AI. That is our rule, and in the European Union it is also the law under the AI Act. We think it is the right way round anyway. A customer who feels tricked is worse for you than a customer who knows.

Will it sound like a robot?

No. Callers talk to it the way they would talk to a person, in their own words, without pressing 1 for anything. But being natural is not the same as pretending to be human, and we do not do the second one.

What happens when it gets something wrong?

It hands the conversation to a person. Every system we build has a line where it stops guessing and passes the job on, and we set that line with you during the build. A system that improvises when it is unsure is a liability, not an asset.

Can it work in my customers' language?

Yes, including when your customers switch language mid sentence. We set the languages during the build based on who actually calls you.

Is this going to replace my staff?

That is not what we sell and it is not usually what happens. What it removes is the part of their day spent retyping, re answering and chasing. Most clients come to us because their people are already overloaded, not because they want fewer of them.

What if my customers hate it?

Then it is not working and we change it. You see it running on real conversations early, precisely so this comes out in week one instead of month three.

Control, data, ownership

Can I switch it off?

Yes, at any moment, and calls or messages go back to where they went before. Nothing we build takes a decision you cannot reverse.

Who owns the system and the data?

You own your data, always. When the build is paid for, the system is yours. That goes in writing before we start, so nobody has to take anyone's word for it.

What happens if we stop working together?

You keep the system and your data, and we hand over what is needed to run it elsewhere. There is no clause that traps you and no data held hostage. If we are only keeping you because leaving is painful, we have not earned the work.

Will you show my business to other prospects?

No. We do not publish client names, logos or screenshots, and what we build for you is not turned into someone else's case study. If you want us to show a prospect something working, we ask you first.

Will you sign an NDA?

Yes. Ask before the audit and we sign it before we look at anything.

Where is my data stored, and is it used to train AI?

Your data is used to run your system and for nothing else. It is not sold, not shared with other clients, and not handed over to be used as training material. The detail of where it sits is set out in the privacy policy and confirmed in writing for your specific build.

Technical

Do I need to change the software I already use?

No. That is the point. We build around your phone line, your calendar, your client records and the spreadsheet you already keep. There is no platform to move into and no seats to buy.

Will it connect to my system?

Usually. We regularly connect phone lines, WhatsApp Business, SMS, Telegram, Instagram and Messenger, Google Calendar, Outlook and Microsoft 365, Gmail and Google Workspace, Google Sheets, Excel, CRMs, Shopify and WooCommerce, card payments, mobile money, accounting software and booking systems. If yours is not on that list, tell us during the audit. Most business software can be connected, and we will say honestly when it cannot or when it can but is not worth the money.

Do I need to keep my phone number?

Yes, keep it. Your customers already know it. We work with the number you have.

What happens if the internet or the power goes down?

The systems run in the cloud, not on a machine in your office, so your local outage does not take them down. Calls and messages keep being answered while your building is dark. The failure paths get defined during the build so there is never a silent hole.

Do you use my customers' data to build for someone else?

No. Never.

What tools do you build with?

That is our side of the wall, the same way a builder does not sell you a list of the brands in their van. What we do tell you in full is what your system connects to, what it does, where your data goes and what happens when it breaks.

After it goes live

Who fixes it when it breaks?

We do. Hosting, monitoring and repairs stay with us for as long as you use the system. When something breaks, you hear it from us before you hear it from a customer.

Can I change how it behaves later?

Yes. Hours change, prices change, services change. Keeping the system current with your business is part of running it, not a new project every time.

How do I know it is doing its job?

You see what it handled and what it passed to a person. Nothing happens in a box you cannot look into.

Can we add a second system later?

Yes, and that is the normal path. We build one thing, it earns its place, then we look at the next gap. We would rather have one system you trust than four you are unsure about.
